Basics
Learn the dashboard, choose the right location, find records, and manage everyday shortcuts.
The dashboard is the starting point for daily work in DealerSpot. Choose the dealership location first, then use the Overview, search, pins, and notifications to move between records.
Choose the right location
DealerSpot calls each dealership location a branch. Use the selector at the top of the sidebar to choose where you are working.
- Owners and Admins can choose All Branches or one location.
- Members choose from the locations assigned to them.
- Switching dealerships clears the previous location choice.
- Vehicle, Contact, Transaction, and Post lists can also have their own Branch filter.
Choose a location before creating records
Select the location before using a quick-create shortcut. This helps new vehicles, contacts, transactions, and posts appear in the right place.
Read the Overview
The Overview follows the location selected at the top of the dashboard.

| Vehicle sales | Complete transactions from the current month and previous 11 months |
| Schedule | The next six upcoming Calendar items |
Appointments includes Meetings, Test Drives, and Tasks in any status. The Schedule can show items beyond seven days, so open Calendar when you need the full list.
Search and create records
Open search from the sidebar, or press Command + K on a Mac or Control + K on Windows.
Before you type, the menu shows page shortcuts and quick-create actions. After you type, it searches:
- Vehicles
- Contacts
- Posts
It does not search transactions, notes, or Calendar items. Quick create makes a basic record and opens it right away. Use the regular Add button when you want to choose more details before the record is created.
Use shared pins
Pinned vehicles, contacts, transactions, and posts appear together in the sidebar.
- The first four appear automatically. Select More to see the rest.
- Recently updated records move higher in the list.
- Pins are shared with the dealership team. They are not personal bookmarks.
- Unpinning a record does not delete it.
Use pins for records the team needs to revisit soon.
Check notifications
Select the bell to open your DealerSpot notifications. You can mark items as read, archive them, or snooze them for later.
DealerSpot currently sends notifications for:
- A mention in a vehicle, contact, or transaction note
- Being added to or removed from a transaction
- Being added to a Calendar item through Calendar
- A new storefront contact, for Owners and Admins
Selecting a notification opens the related record. Calendar assignments made by Spot do not send the same alert as assignments saved in Calendar.
Manage your account
Open the user menu at the bottom of the sidebar and choose Account.
- Profile: Change your display name and profile-picture link. Your email is shown but cannot be changed here.
- Password: Password-based accounts can change their password after entering the current one.
- Appearance: Choose System, Light, or Dark for your dashboard.
- Language: Choose English or Español from the user menu.
Your personal appearance choice does not change the public storefront. Change the storefront theme in Settings > Branches > Website.
Open help or the storefront
Support & Feedback opens the documentation and a prepared text-message action. The phone-call button is currently unavailable. If you cannot reach the dashboard, email dealerspotsupport@gmail.com.
The globe in the dashboard header opens the available storefront. When several locations have a storefront, it lets you choose one.
