Custom Fields

Add extra boxes for the dealership details you want to track on contacts, vehicles, and transactions.

Custom fields are extra boxes you can add when DealerSpot does not already have a place for a detail your team uses. For example, you might add Referral Partner to contacts, Key Count to vehicles, or Delivery Method to transactions.

How they work

You create a field name once, then use it on the records that need it. Each record keeps its own answer.

For example, you can create a field named Key Count and enter 2 on one vehicle and 1 on another. Adding it to one vehicle does not add it to every vehicle.

Vehicle fields also include Show on your website. Contact and transaction fields stay inside DealerSpot.

Keep private details elsewhere

Custom fields can be available to teammates working in different branches. Do not use them for passwords, identification numbers, financial account details, or other sensitive information.

Where to manage fields

Open the record and go to its Details tab:

  • Contact: Details > Custom Details
  • Vehicle: Details > Custom Fields
  • Transaction: Details > Custom Fields

Select Manage to find an existing field, add a new one, show or hide it, change its name, or move it into a different order.

Check before deleting a contact field

Deleting a contact field removes that field and its saved answers from every contact. On vehicles and transactions, Delete removes the answer from the record you are working on after you save.

Find records by a saved answer

The Contacts, Inventory, and Transactions pages can filter by saved custom-field answers. Matching is exact, so Front Lot and front lot are treated as different answers.

Choose one spelling and use it every time. If your team plans to filter by lot location, for example, agree on choices such as Front Lot and Back Lot.

On the Contacts page, use the filter or open the contact to confirm an answer. The optional contact columns may not show the saved answers.

  • Add a field only when your team will use it on several records.
  • Keep the name short and clear.
  • Use the same spelling for common answers.
  • Use DealerSpot's regular fields when one already fits.
  • Use a note for one-time updates or conversations.
  • Check vehicle details before showing them on your storefront.
