Notes
Add notes to vehicles, contacts, and transactions
Use Notes to add internal documentation to any record.
Overview
Add notes to:
- Vehicles - Condition notes, pricing discussions, history
- Contacts - Communication logs, preferences, follow-up reminders
- Transactions - Deal notes, special arrangements, approval details
Notes are visible only to your team, not to customers.
Adding Notes
From an Entity
- Open a vehicle, contact, or transaction
- Navigate to the Notes section
- Click Add Note
- Enter title and content
- Save
Note Fields

Note Types
Notes can use different action types:

| Create | Initial observations, intake notes |
| Update | Status changes, new information |
| Delete | Removal reasons (for soft-deleted items) |

Viewing Notes
On Entity Pages
Notes appear on the detail page of each entity:
- Listed chronologically
- Show author and timestamp
- Expandable for full content
Note History
View all notes on an entity:
- Open the entity
- Scroll to Notes section
- See complete note history
Managing Notes
Editing Notes
- Click on a note
- Edit title or content
- Save changes
Edit history is not tracked; consider adding a new note instead.
Deleting Notes
- Click on a note
- Click Delete
- Confirm deletion
Deleted notes are soft-deleted and may be recoverable.
Use Cases
Vehicle Notes
- Condition issues: "Minor scratch on rear bumper - priced accordingly"
- Pricing history: "Reduced from $25,000 to $23,500 on 1/15"
- Acquisition details: "Purchased from Bob's Auto at wholesale auction"
- Customer interest: "Three customers interested this week"
Contact Notes
- Communication log: "Called 1/10 - interested in SUVs, will visit Saturday"
- Preferences: "Prefers text over phone calls"
- Follow-up reminders: "Waiting for tax refund, follow up mid-February"
- Special requests: "Needs wheelchair-accessible vehicle"
Transaction Notes
- Deal structure: "Agreed to include floor mats and first oil change"
- Approval details: "Finance approved at 7.9% APR"
- Issues resolved: "Title delay resolved, customer notified"

Best Practices
Write Clear Notes
- Use descriptive titles
- Include relevant dates
- Be specific and factual
- Note who was involved
Maintain History
- Add notes for significant events
- Don't edit old notes - add new ones
- Document decisions and reasons
- Record customer preferences
Team Communication
- Use notes to share information
- Include context for other team members
- Note next steps and follow-ups
- Document verbal agreements
Note Visibility
- Notes are internal only
- Customers cannot see notes
- All team members can view notes
- Only the note creator can edit
