Spot and AI Tools

Ask questions, complete supported tasks, and draft vehicle listing copy.

DealerSpot includes two kinds of AI help:

  • Spot can answer dealership questions and help with everyday work.
  • Vehicle writing tools can draft a listing title or description.

What Spot can help with

Spot can work with dealership information you are allowed to see. You can ask it to:

  • Find vehicles, contacts, transactions, posts, events, notes, expenses, or branches
  • Summarize dealership activity or sales information
  • Create or update supported vehicles, contacts, transactions, and posts
  • Connect buyers, vehicles, and team members to a transaction
  • Add notes or vehicle expenses
  • Create calendar events
  • Turn dealership information into a chart
  • Remember an approved preference or dealership instruction

Be specific when possible. A name, VIN, stock number, date, or record type helps Spot find the right information.

Work from the right page and branch

Spot can use the page you are viewing, active filters, selected rows, and active branch. For example, ask “Summarize this vehicle” while the vehicle is open.

Owners and Admins can work across branches. Members see branch-based vehicles, contacts, transactions, and posts based on their access.

Check calendar details carefully

Calendar events are shared across the dealership. Before creating or changing an event with Spot, check the contact, vehicle, branch, time, and assigned teammates. If Spot assigns a teammate, tell them directly because an automatic assignment alert may not be sent.

Review changes before approving them

Spot can search and answer questions without changing a record. When you ask it to update, delete, move, or reconnect existing information, it shows the action for confirmation first.

A clear request to create a new supported record may create it right away. Open the result and check it whenever it affects a customer, a vehicle listing, or transaction details.

Draft a vehicle title or description

The vehicle Listing tab includes a sparkle button beside:

  • Title
  • Description

To use it:

  1. Fill in the vehicle details you know.
  2. Open the vehicle and select Listing.
  3. Select the sparkle button beside the title or description.
  4. Read the draft in the text box.
  5. Correct the facts and wording, then save.

The sparkle button does not open a question box. It uses saved details such as year, make, model, mileage, condition, engine, transmission, body style, fuel type, and color.

It does not use the vehicle's asking amount, custom fields, branch details, or the AI instructions saved in Settings. Add any other verified details yourself.

Draft a post with Spot

The Posts editor does not currently include a Generate button. You can still ask Spot for a starting draft:

  1. Give Spot the facts and the goal of the post.
  2. Check every vehicle, business, legal, and promotional claim.
  3. Add the approved text to the post editor.
  4. Add links, images, or vehicle cards.
  5. Save as Draft and preview it before publishing.

Set your dealership's writing style

Owners and Admins can open Settings > AI and save:

  • Brand Voice for the tone Spot should follow
  • Custom Instructions for dealership preferences Spot should remember

Keep the instructions short and useful for many requests. These settings guide Spot, but they do not change the vehicle Listing sparkle button.

Check usage and past changes

Open Settings > Billing to see current AI usage. This is a usage summary, not a complete history of Spot's work. Use each record's Activity timeline when you need to review tracked changes.

If a request is unavailable, follow the message shown in DealerSpot.

Review before saving

  • Match vehicle details to the saved record.
  • Confirm customer and transaction information.
  • Double-check totals and financial examples.
  • Remove promises the dealership cannot support.
  • Keep private information out of public copy.
  • Verify dates, branch names, contact details, and links.
  • Have the right person review legal, financing, tax, and compliance wording.

AI provides a draft, not final approval

Even when Spot completes a task successfully, review the result before relying on it or sharing it with a customer.

If something does not work

Spot cannot find a record

Check the active dealership and branch. Remove narrow filters and include a name, VIN, stock number, or record type in your request.

Spot asks for confirmation

This is expected for many updates, deletions, moves, and relationship changes. Read the complete action before approving it.

Vehicle copy is too general

Add more vehicle details and try again. You can also edit the draft directly in the title or description box.

A usage message appears

Open Settings > Billing to review current usage, then follow the message shown in DealerSpot.
