Create and manage calendar events
Create events to track appointments, test drives, follow-ups, and tasks.
Creating an Event
- Navigate to Planning
- Click Add Event or click on a calendar date
- Fill in event details
- Click Save
Event Details
Required Fields

Event Types
Meeting
Use for scheduled appointments:
- Sales consultations
- Delivery appointments
- Follow-up meetings
- Trade-in appraisals
Test-Drive
Use for vehicle demonstrations:
- Scheduled test drives
- Vehicle comparisons
- Extended demos
Link the test-drive event to specific vehicles so you can track which vehicles generate interest.
Task
Use for action items:
- Follow-up calls
- Paperwork completion
- Vehicle preparation
- Internal reminders
Tasks don't require a specific time - they can be all-day items with a due date.
Managing Events
Editing Events
- Click on an event in the calendar
- Modify the details
- Click Save
Rescheduling
Drag and drop events to a new date or time on the calendar. The event updates automatically.
Changing Status
Update status as you progress:
- Open the event
- Change status to Pending when starting
- Change to Complete when done
Deleting Events
- Open the event
- Click Delete
- Confirm deletion
Deleted events are permanently removed.
All-Day Events
For events without a specific time:
- Enable All Day when creating the event
- The event appears at the top of the day
All-day events are useful for:
- Task deadlines
- Delivery dates
- Document due dates
Recurring Events
DealerSpot currently supports individual events. For recurring appointments:
- Create the first event
- Duplicate as needed for future dates
Event Notifications
Team members assigned to an event can see it on their calendar. Use descriptions to include relevant details and instructions.
