Linking Contacts

Associate contacts with events to track customer interactions.

Adding Contacts to Events

  1. Create or edit an event
  2. In the Contacts section, click Add Contact
  3. Search and select the contact
  4. Save the event

Benefits

  • See all scheduled interactions on the contact's profile
  • Track follow-up history
  • Never miss a scheduled appointment

Multiple Contacts

You can add multiple contacts to a single event. Useful for:

  • Joint appointments (couples, business partners)
  • Group meetings
  • Multi-party deals

Linking Vehicles

Associate vehicles with events to track interest and demo history.

Adding Vehicles to Events

  1. Create or edit an event
  2. In the Vehicles section, click Add Vehicle
  3. Search and select the vehicle
  4. Save the event

Benefits

  • See which vehicles are generating interest
  • Track test drive history
  • Plan vehicle availability around appointments

Test-Drive Tracking

For test-drive events:

  1. Link the customer contact
  2. Link the vehicle(s) being tested
  3. Add notes about their feedback

This creates a complete record of the test-drive.

Assigning Team Members

Assign events to team members for accountability and calendar visibility.

Adding Team Members

  1. Create or edit an event
  2. In the Members section, click Add Member
  3. Select team members
  4. Save the event

On a contact's profile, view their:

  • Upcoming events
  • Past events

From a Vehicle

On a vehicle's page, view:

  • Scheduled test drives
  • Upcoming appointments
  • Interest history

Scheduling Workflows

Lead Follow-Up

  1. Create a Task event
  2. Link the lead contact
  3. Set due date
  4. Assign to salesperson
  5. Mark complete when done

Test-Drive

  1. Create a Test-Drive event
  2. Set date and time
  3. Link the customer
  4. Link vehicle(s) to test
  5. Assign to salesperson

Delivery Appointment

  1. Create a Meeting event
  2. Set delivery date and time
  3. Link the buyer contact
  4. Link the sold vehicle
  5. Add delivery instructions in description

Best Practices

  • Always link relevant contacts and vehicles
  • Assign team members for accountability
  • Use descriptive titles (e.g., "Test Drive - John Smith - 2024 Camry")
  • Add details in descriptions
  • Update status promptly
