Subscription plans and payment management

Manage your DealerSpot subscription and monitor usage.

Accessing Billing

  1. Navigate to Settings
  2. Select Billing

Only Owners can modify billing settings. Admins can view billing details.

Viewing Usage

Your billing page shows current usage:

  • Vehicles: Current count vs. limit
  • Transactions: This month's count vs. limit
  • AI Requests: This month's count vs. limit
  • Team Members: Current count vs. limit

Usage resets at the start of each billing period.

Upgrading Your Plan

To upgrade:

  1. Go to Settings > Billing
  2. Click Upgrade
  3. Select Professional plan
  4. Choose monthly or annual billing
  5. Complete payment

Upgrades take effect immediately:

  • New limits apply instantly
  • Pro features become available
  • Prorated charges apply

Downgrading Your Plan

To downgrade:

  1. Go to Settings > Billing
  2. Click Change Plan
  3. Select Standard plan
  4. Confirm downgrade

Before downgrading, ensure you're within Standard limits:

  • 40 or fewer vehicles
  • 3 or fewer team members

Downgrade takes effect at next billing cycle.

Changing Billing Period

Switch between monthly and annual:

  1. Go to Settings > Billing
  2. Click Change Billing Period
  3. Select monthly or annual
  4. Confirm change

Annual billing saves up to 25%.

Payment Methods

Adding a Payment Method

  1. Go to Settings > Billing
  2. Click Payment Method
  3. Enter card details
  4. Save

Updating Payment Method

  1. Go to Settings > Billing
  2. Click Update next to payment method
  3. Enter new card details
  4. Save

Payment Issues

If payment fails:

  • Update your payment method
  • Ensure sufficient funds
  • Check card expiration
  • Contact your bank if declined

Billing History

View past invoices:

  1. Go to Settings > Billing
  2. Scroll to Billing History
  3. Click any invoice to view or download

Cancellation

To cancel your subscription:

  1. Go to Settings > Billing
  2. Click Cancel Subscription
  3. Confirm cancellation

After cancellation:

  • Access continues until period end
  • Data is retained for 30 days
  • You can resubscribe anytime

Frequently Asked Questions

What happens if I exceed limits?

  • Vehicles: Cannot add more until under limit
  • Transactions: Cannot create more until next period
  • AI Requests: Cannot use AI until next period
  • Team Members: Cannot invite more

Can I get a refund?

Contact support for refund requests. Refunds are handled case-by-case.

Do limits reset immediately on upgrade?

Yes. Upgrading immediately grants new limits.

What payment methods are accepted?

Major credit cards (Visa, Mastercard, American Express, Discover).
