Use Transaction Custom Fields
Add extra deal details and use them in the Transactions list.
Transaction custom fields are extra boxes for repeatable deal details that do not fit the regular transaction sections. Examples include delivery method, deal channel, or internal review status.
Add a field to a transaction
- Open Transactions and choose a transaction.
- Select Details.
- Open Custom Fields.
- Select Manage.
- Find an existing field, or select Create new and enter a short name.
- Enable Add to this transaction.
- Save the Manage Fields window.
- Enter the answer and save the transaction details.
The field name becomes available on other transactions, but the answer belongs only to the transaction you are editing.
Search before creating
Check the existing fields first. Two fields with similar names create separate columns and filter choices, which can confuse the team.
Show, hide, or move fields
Return to Details > Custom Fields to change an answer. Open Manage to show or hide fields on the current transaction or move fields into a different order.
Hiding a field does not erase its answer. The answer may still be available in Transactions filters and optional columns.
Find transactions by an answer
Saved answers can appear as optional columns and filters on the Transactions page. Filters look for an exact match.
Use Pickup every time, for example, instead of switching among Pickup, Pick up, and Customer pickup.
Hide or delete an answer
Remove hides the field on the current transaction but keeps its saved answer.
To erase the answer from this transaction, open Manage, choose Delete, and save. This does not erase answers from other transactions.
Keep sensitive information elsewhere
Teammates working in other branches may see saved answer choices. Do not use custom fields for account numbers, passwords, identification numbers, or other sensitive information.
Transaction custom fields stay inside DealerSpot. They do not appear on the storefront or automatically fill customer documents.
