Vehicle Images and Documents
Arrange listing photos, create a Window Sticker, and attach non-sensitive vehicle files.
Strong photos help shoppers understand a vehicle. Use Listing for public photos and Documents for the Window Sticker and non-sensitive supporting files.
Manage listing images
- Open the vehicle from Inventory.
- Select the Listing tab.
- Add one or more supported image files.
- Drag images into the order you want customers to see.
- Save the listing changes.
The first image becomes the primary image used on inventory cards and as the first image in the public gallery.
Image requirements
- Supported files: JPEG, PNG, WebP, and GIF
- Maximum size: 5 MB per image
- Multiple images can be uploaded and reordered
Use landscape photos with consistent framing when possible. Show the exterior, interior, dashboard, important features, and condition honestly.
Remove an image
Remove the image from Listing, then save.
Remove takes the image off the vehicle
Removing an image takes it off the vehicle, but does not confirm that every stored copy has been permanently erased.
Use the Documents tab
Open Documents for the generated Window Sticker and files associated with the vehicle record.
Generate a Window Sticker
The Window Sticker uses the current vehicle and branch information. Check the saved vehicle before you view, download, or print it. Custom values appear only when they are both Visible and Public.
If the sticker is wrong, correct the vehicle first and then create the sticker again.
Upload a document
- Open Documents.
- Select Upload.
- Choose one or more supported files.
- Wait for the upload to finish.
- Confirm the files appear under uploaded documents.
Use this area only for non-sensitive vehicle material. You can upload:
- JPEG and JPG
- PNG
- WebP
The dashboard limit is 5 MB per file. DOC and DOCX are not accepted.
Do not upload sensitive paperwork
Uploaded files do not appear on the storefront, but anyone with a file's direct link may be able to open it. Do not upload sensitive, regulated, or private paperwork.
Work with uploaded files
Available document actions include:
- View to open a preview
- Download to save a copy
- Print to prepare a printable version
- Select to include multiple PDFs in one combined print package
- Delete to remove the file from the vehicle
There is no document rename control. Choose a clear filename before uploading.
Load every document before changing the file list
The panel shows 12 files at a time. If there are more, load every page before you upload or delete. Otherwise, files that were not loaded can disappear from the vehicle's list. Check the full list after the change.
What becomes public
- Listing images appear for a Listed vehicle on its branch storefront.
- The vehicle's public specifications, price display, description, and public custom values can appear on the storefront.
- Uploaded Documents are not shown on the storefront, but anyone with a file's direct link may be able to open it.
- The generated Window Sticker is not automatically published on the storefront.
A practical media review
Before listing the vehicle:
- Put the strongest representative image first.
- Remove duplicates and images that no longer represent the vehicle.
- Verify that photos do not contradict the selected trim, color, condition, or features.
- Open the Window Sticker and review its vehicle, dealership, price, and public custom-field data.
- Upload only non-sensitive supporting files.
- Download any copy your dealership needs outside DealerSpot.
